Batching and Indexing Services

This page includes our most common objective indexing requests. Please discuss your advanced needs with us when you contact us.

Batching Images for Microfilm Scanning (film scanning)

Before any index can be applied we need to know how you wish to have the image's batched or grouped. Because the images are already on microfilm and probably were not filmed with the idea that they would be scanned in the future there can be some issues here. Very extensive Indexing below can be performed, however it can be very expensive as well. Think carefully about how you wish to retrieve these images after they are scanned and then please try and indicate to best of your ability how you wish to have them batched.

Image Batching Options:

16mm Roll Film - 3 basic options
  • Each image on every roll becomes a single-image file. - Index using Level I
  • Each individual roll becomes a multi-image file. - Index using Level I or II
  • A group of rolls prearranged by you becomes a multi-image file. - Index using Level I or II
16mm Roll Film - 2 advanced options (for film with Blips)
  • Tri-level blipped film - Can be batched by large or medium blip creating a multi-image file for each blipped batch file. - Index using Level I or II
  • Film blipped with any size blip at start of each batch file and no blips on subsequent images creates a multi-image file for each blipped batch. - Index using Level I or II

Indexing - Level I

  • Our Basic Level I Output contains "named" or "numbered" pdf or tif images. These images are named according to rolls, blip markers however your images are organized.
    • We create a single-image or multi-image pdf or tif file that encompasses the pages from a predetermined batch into the pdf/tif file.
    • This image file can be renamed using a naming method that was outlined by you or left in sequential order.
      • (Image file names are limited to 165 characters for Win '95, '98, '00, ME, NT and XP)
    • A customized indexing/viewer is created.
    • The pdf/tif files, index and the customized viewer are then output to a CD/DVD.

  • There two Basic Image Naming Options:
    • Original Numeric Scanning order
    • Sorted by Name (alpha or numeric order) These files will be in logical alphabetical or numeric order.

  • Folders Levels and File Naming Options:
    • Single Folder with Simple File Naming (simple file naming example: [0001.pdf], [0002.pdf] etc...)
    • Multiple Folder Levels with complex File Naming (complex file naming: [Johnson, Joe E. - 555-11-1234.pdf])
    • Or any combination of Folder Levels and File Naming
      • Multiple Folder Levels combined with the File Names must total less than 165 characters.

  • Some Possible Examples:
  • Sample #1 - Single Folder Level with Simple File Naming
  • Sample #2 - Multiple Folder Level with Simple File Naming
  • Sample #3 - Multiple Folder Level with more complex File Naming

Advanced Cross Reference Data Base - Level II
  • Our most advanced or Level II involves a complex cross referenced data base.
  • This cross referenced index is in an electronic format and can be used with either pdf or tif files.
  • The index can be imported into a retrieval system you already have
  • The index works perfectly with our own Barracuda Image Retrieval Software
  • The output can be a simple paper print out
  • We can output to a single pdf file on the CD, but will not contain "live" or "hot" links to the files
  • The cross referenced index uses up to 5 fields (or more) of objective indexing. (user keyed) This index provides a table that references the objective data, the file name, path and sub-path data and can be imported into almost any program. We can provide the index in .xls, .doc, .mdb, .foxpro, text files ascii and others

Below is a sample database using 5 fields of data
